Salon Inventory Template
A salon inventory template tracks the products a salon uses and sells, separating back-bar supplies from retail stock, with current quantity, reorder point, supplier and cost. It helps salons avoid running out of colour mid-appointment and see how much money is sitting on the shelves.
Who it's for: Salon owners, spa managers and independent stylists.
Free, no email needed. Google Sheets: download the .xlsx, then File > Import > Upload.

Why these columns: Salons run out of back-bar products at the worst moment and over-stock retail that does not sell. Separating Use and adding a Reorder? flag covers both problems.
How to use it in 5 steps
- Count everything once to set In stock, back bar and retail separately.
- Set Reorder at from how much you use between supplier deliveries.
- Do a quick count weekly for colour and fast-moving items.
- Filter Reorder? to Yes and place one order per supplier.
- Check total Stock value monthly. Too much cash on shelves means over-ordering.
Spreadsheet, dedicated software, or Notion?
| Option | Best for | Falls short when |
|---|---|---|
| This spreadsheet | Small salons and solo stylists | No link to appointments, services or staff |
| Salon booking software with inventory | Salons already paying for one | Inventory features are often basic |
| Notion version | Clients, appointments, services, staff and inventory in one system | Needs Notion |
If the free spreadsheet does everything you need, stick with it. The Notion version is for when you want the pieces connected.

- Inventory tied to services and retail sales
- One system for the whole salon
Instant duplicate link after purchase.

Products used on clients during services, as opposed to retail products sold to take home.
How do I set a reorder point?
Take how many units you use between deliveries and add a small buffer.
Should I track retail and back bar separately?
Yes. They have different costs, margins and reorder patterns.
